About the role
Our client in the Agricultural Sector is looking for a highly capable, organised and systems oriented individual to join their Sales Department. This is a fast paced operational role that sits at the centre of the sales order, invoicing, pricing and logistics process.
You will work as part of an experienced team but must also be comfortable taking ownership of tasks, identifying problems, following transactions through to completion and making sound decisions without requiring constant supervision.
- Process and manage customer sales orders from receipt through to completion
- Capture sales orders accurately on the company ERP system
- Prepare and process customer invoices and related documentation
- Check selling prices and customer specific pricing for accuracy
- Coordinate with internal teams on stock, production, dispatch and customer needs
- Liaise with logistics providers, transporters and clearing agents
- Reconcile and analyse information using Excel extensively
Requirements
- A relevant tertiary qualification would be advantageous, particularly in Accounting, Finance, Logistics, Supply Chain, Business Management or Commerce
- Suitable candidates could come from backgrounds including sales operations, order processing, logistics, supply chain, imports or exports, finance or accounting administration, debtors or creditors with strong commercial exposure, procurement, inventory or stock control, ERP administration, or customer service within a manufacturing or distribution environment
- Highly organised and systems oriented
- Comfortable working independently and taking ownership of tasks
- Strong attention to detail and accuracy
- Proficient in Microsoft Excel
- Good problem solving and decision making skills
- Strong communication skills for liaising with customers and internal stakeholders
Responsibilities
- Process and manage customer sales orders from receipt through to completion
- Capture and maintain sales orders accurately on the company ERP system
- Prepare and process customer invoices and related documentation
- Check selling prices, customer specific pricing and other commercial information for accuracy
- Identify pricing discrepancies and resolve queries before invoicing or dispatch
- Coordinate with internal departments regarding stock availability, production, dispatch and customer requirements
- Liaise with logistics providers, transporters, clearing agents and other service providers where required
- Coordinate local and export logistics and ensure required documentation is available
- Monitor outstanding orders and proactively follow up on delays or potential problems
- Maintain accurate order, delivery and customer information
- Use Excel extensively to reconcile, analyse, check and manage information
- Investigate differences between orders, invoices, stock, pricing or logistical documentation
- Assist the Sales team with reporting, reconciliations and operational information
- Communicate with customers and internal stakeholders regarding order status and delivery requirements
- Ensure transactions are processed accurately and within required timelines
- Maintain proper supporting documentation and audit trails
- Identify process problems and escalate or resolve them appropriately
