About the role
As a Healthcare Compliance Coordinator, you will play a key role in supporting a U.S. based client that provides Applied Behaviour Analysis (ABA) therapy services. Your main focus will be on ensuring that session notes from Registered Behaviour Technicians (RBTs) are submitted and verified on time.
You will work closely with field staff, using the Rethink platform to pull daily reports and identify any outstanding documentation. Your day to day will involve following up with RBTs via email, phone and text, offering friendly reminders and assistance to help them complete their notes. You will also need to spot any technical issues that might be blocking submission and escalate these to your supervisor when needed.
This role is all about communication and organisation. You will keep accurate records of all your follow ups, build positive relationships with field staff, and work with your team to improve processes. It is a fully remote position, so you will need a reliable fibre internet connection and power backup to manage load shedding.

Requirements
- Familiarity with Applied Behaviour Analysis (ABA) practices and the role of RBTs is highly advantageous
- Proficiency in using electronic health record systems; experience with the Rethink platform is a plus
- Strong verbal and written English communication skills, with the ability to convey reminders and instructions clearly and empathetically
- Strong organizational skills and the ability to manage a high volume of daily follow ups, ensuring no RBT is overlooked
- Problem solving skills to identify what is holding up note submission and work with the team on solutions
- Approachable, friendly demeanour with the ability to build good working relationships
- Ability to maintain confidentiality and handle sensitive information professionally (HIPAA)
- A fixed fibre line with a minimum speed of 25 Mbps (upload and download) and the ability to support a wired Ethernet connection is mandatory
- A reliable power backup solution is required to manage load shedding and power outages
- Must be located in South Africa
Responsibilities
- Run daily reports on the Rethink platform to identify unsubmitted or unverified session notes from the previous day
- Follow up with RBTs via email, phone, and text to remind and assist them in completing their session notes
- Use existing email templates to keep communication consistent
- Identify technical issues or barriers that prevent timely submission and escalate concerns to the supervisor when necessary
- Maintain accurate records of all follow up communications and outcomes
- Build positive, supportive relationships with field staff to encourage compliance without causing discomfort
- Collaborate with team members to resolve recurring issues and improve the submission process
