Overview

A unique senior opportunity in Pretoria for a highly organised, discreet professional to support a family with their personal and household affairs while also assisting the Financial Director with business administration. This dual role suits someone who can work independently, handle confidential information with care, and keep two sets of priorities running smoothly. If you have strong Microsoft 365 skills and a proactive executor mindset, this could be your next career move.

About the role

This is a senior, trusted, standalone position split across two principals: a family and the company's Financial Director. You will provide hands-on support to the family across their personal and household affairs while acting as Executive Assistant to the Financial Director on the business side.

On the family side, you will manage diaries and schedules, handle correspondence, arrange domestic and international travel, plan events, oversee household staff and vendors, and keep records organised in Microsoft 365. Confidentiality and discretion are essential at all times.

On the business side, you will manage the Financial Director's diary and meeting preparation, draft and proofread correspondence, support board and HR Committee administration, liaise with stakeholders when the Financial Director is unavailable, and provide day to day administrative support.

To apply, please use the application instructions provided on the People Dimension listing on PNet. No specific application email or reference number is given in the advert.

Requirements

  • Executor mindset: a self-starting doer who takes full ownership of outcomes and works independently with minimal direction
  • Exceptional organisation and the ability to juggle competing priorities across two principals without dropping detail
  • Proven discretion in handling confidential personal, financial and business matters
  • Clear, professional written and verbal communication, comfortable representing both the family and the Financial Director
  • Strong Microsoft 365 proficiency (Outlook, Word, Excel, OneDrive, SharePoint, Teams)
  • Anticipates problems and solves them proactively rather than escalating them
  • Calm, professional and resilient under pressure and changing priorities
  • Desirable: prior experience in a family office, private household, or executive support role at a senior level
  • Desirable: exposure to board or governance administration (papers, minutes, action tracking)
  • Desirable: bookkeeping or general finance administration exposure
  • Desirable: valid driver's licence and own reliable transport

Responsibilities

  • Manage schedules, appointments and calendars for family members, prioritising and protecting their time
  • Draft, proofread and manage correspondence, acting as a trusted point of contact on the family's behalf
  • Arrange domestic and international travel, flights, accommodation, transport, reservations and full itineraries efficiently and cost-effectively
  • Plan and run family events, functions and gatherings end to end, anticipating and resolving issues before they surface
  • Liaise with and oversee household staff, vendors and service providers to keep personal and household affairs running smoothly
  • Maintain orderly, up-to-date records using Microsoft 365 (OneDrive, SharePoint, Teams)
  • Handle sensitive personal and financial information with the highest degree of confidentiality and safeguard the family's privacy at all times
  • Schedule and prepare the Financial Director for internal and external meetings, including travel and logistics
  • Draft and proofread the Financial Director's correspondence and maintain his records and files in Microsoft 365
  • Support the circulation of papers and tracking of action items for board and HR Committee meetings the Financial Director attends, working alongside the Risk and Compliance function
  • Act as a first point of contact between the Financial Director and internal or external stakeholders when he is unavailable, without making decisions on his behalf
  • Provide day-to-day administrative support to the Financial Director's business responsibilities, prioritised alongside family office duties

Success Guide

This role is perfect for someone who is highly organised, discreet and comfortable working independently across two very different worlds. When applying, highlight any experience you have in executive support, family office or household management, and be ready to give examples of how you have handled confidential information and juggled competing priorities. Since the advert does not specify a closing date or application email, keep an eye on the PNet listing for instructions. A valid driver's licence and own transport will strengthen your application. During the interview, expect questions about your problem solving approach and how you manage multiple stakeholders. Show that you are a doer who sees tasks through to the end.
