About the role
Business Capital Group is looking for a Debtors and Invoicing Specialist to join their freight forwarding operation in Kempton Park. The core purpose of this role is to make sure every freight forwarding transaction is invoiced accurately, on time and profitably, while keeping margins protected and cash flow healthy.
What the day to day looks like:
- You will capture and verify shipment costings across air, sea and road freight, checking supplier invoices against approved costings before anything goes to the client.
- Raising client invoices within 24 to 72 hours of job completion, making sure they match rate agreements, tariffs and contracted margins.
- Managing debtors by allocating receipts, reconciling accounts, running age analysis and following up on overdue payments.
- Investigating billing disputes and correcting invoicing errors where needed.
- Preparing monthly reports on debtor age analysis, revenue versus gross profit and credit notes.
This is a detail heavy role that sits at the centre of cash flow and audit compliance, so accuracy and a proactive approach to spotting discrepancies will serve you well.
Requirements
- Minimum of 3 to 5 years experience in freight forwarding invoicing and costings.
- Proven experience working with airfreight, seafreight and road freight.
- Solid understanding of customs and clearing charges.
- Experience with multi currency billing.
- Strong grasp of job costing and gross profit margins.
- Hands on experience with freight systems such as Shipshape or SAGE Evolution.
Responsibilities
- Capture and verify end to end shipment costings for air, sea and road freight.
- Check supplier invoices against approved costings before client invoicing.
- Identify rate discrepancies, missing charges and potential margin losses, and escalate under costed shipments to management.
- Ensure freight, handling, documentation, customs, port, terminal, storage, demurrage and detention charges are applied correctly.
- Generate accurate client invoices within 24 to 72 hours of job completion.
- Attach supporting documents like AWBs, Bills of Lading, PODs and cost breakdowns to invoices.
- Verify VAT, currency conversions and Incoterms on invoices.
- Prepare and issue VAT 404 statements to clients by the 10th of each month.
- Allocate receipts and reconcile customer accounts.
- Maintain up to date debtor age analysis reports and follow up on overdue accounts.
- Resolve and escalate payment disputes and outstanding queries.
- Place accounts on hold in line with the company credit policy.
- Investigate billing disputes using shipment costings, rate sheets and job files.
- Correct invoicing errors and issue revised invoices where necessary.
- Monitor recurring costing and pricing errors and recommend process improvements.
- Prepare monthly debtor age analysis, revenue versus gross profit reports and credit note logs.
- Assist with audits by providing complete cost and revenue trails.
